GetWorkfolio.com securely stores employee activity data such as screenshots, timesheets, and apps & website usage details to help organizations monitor productivity and maintain accurate records.


The duration of data storage depends on your subscription plan and the tracking features enabled by your company.


1. Free Plan

The Free Plan is designed for short-term evaluation and testing. Data retention is limited to 14 days across all tracked features.


  • Screenshots: Retained for 14 days from the date of capture. After that, they are automatically and permanently deleted. Even if you upgrade to a higher plan, screenshots older than 14 days cannot be recovered.

  • Timesheets: Retained for 14 days, then automatically deleted as part of the system cleanup.

  • Apps & Websites Usage: Retained for 14 days. These records are automatically deleted at regular intervals, so older data may or may not remain accessible depending on the deletion cycle.


Note: Once deleted, screenshots or other tracking data are permanently removed.
Workfolio does not maintain any backups or copies, and recovery is not possible.

2. Pro Plan

The Pro Plan provides extended data retention, better visibility, and detailed tracking for audits and reporting purposes.


  • Screenshots: Retained for 90 days from the date of capture. Automatically deleted after the retention period.

  • Timesheets: Retained for 1 year (365 days) from the date of entry.

  • Apps & Websites Usage: Retained for 1 year (365 days) from the date of record.

The Pro Plan is ideal for organizations that require reliable data for performance tracking, time audits, and compliance purposes.
Once any data is deleted after its retention period, it cannot be recovered.


3. Premium Plan

The Premium Plan follows the same data retention policy as the Pro Plan, with extended tracking and analytics capabilities for deeper insights into employee performance.


  • Screenshots: Retained for 90 days.

  • Timesheets: Retained for 1 year (365 days).

  • Apps & Websites Usage: Retained for 1 year (365 days).

  • Mouse & Keyboard Activity Tracking: Exclusive to the Premium Plan and retained for 1 year (365 days) from the date of capture.

Both Pro and Premium plans have identical retention durations for screenshots, timesheets, and app usage data.

However, the Premium Plan provides additional advanced tracking such as mouse and keyboard activity monitoring, which is also securely stored for 1 year.


4. Data Security and Deletion Process

All data in Workfolio is encrypted and stored securely following industry best practices.
When any data reaches the end of its retention period, it is automatically deleted using a secure and irreversible process.

Important:
Workfolio does not maintain backup copies of deleted data.

Once removed, the data is permanently erased and cannot be recovered.


5. Recommendations

  • Upgrade to Pro or Premium to ensure extended data retention and access to historical insights.

  • Export or download required reports regularly to maintain offline backups before data expiration.

  • Once deleted, no screenshots, logs, or tracking data can be restored.

  • Choose Premium if you require comprehensive tracking such as mouse and keyboard activity monitoring.


6. Frequently Asked Questions (FAQ)


Q: If I use the Free Plan for 3 months and then upgrade to the Pro Plan, will I still have access to my old Free Plan data?


A: The data captured during the Free Plan will be available only for 14 days from the date it was recorded. Older data is scheduled for automatic deletion at regular intervals, so we cannot guarantee the availability of data older than 14 days. Once deleted, the data cannot be recovered.


However, once you upgrade to the Pro Plan, all new data captured under the Pro Plan will be stored for 1 year. You will also have full control to delete your data manually through your admin dashboard.
